    PURPOSE OF THE POSITION

    As a member of the Auto Insurance/Product Team and reporting to the Executive Assistant, you will provide coordination and administrative services to support team programs and projects.

    KEY RESPONSIBILITIES
    • Overseeing administrative and operational support (e.g. financial, human resources, purchasing, supply, accommodation) for the team.

    • Preparing budget forecasts, expenditure analysis and reconciliations and providing input to financial and operational planning.

    • Maintaining a centralized records management system and maintaining the project website.

    • Coordinating meetings and organizing conferences including booking facilities and accommodation, travel, and equipment) and preparing materials.

    • Acting as a key contact in response to inquiries.

    • Facilitating requests for physical changes to the workplace (e.g. equipment, purchasing, repairs).

    QUALIFICATIONS

    Specialized Knowledge and Experience

    • Demonstrated knowledge of budget and accounting procedures, practices and information systems to prepare budget estimates, identify expenditure problems and prepare budget reports.

    • Demonstrated knowledge of administrative procedures in the areas of human resources, purchasing, accommodation) to carry out day to day administrative activities.

    Skills

    • Demonstrated administrative management and organizational skills to assist with a range of administrative coordination and services for the team and to prioritize work, including coordinating meetings and organizing conferences.

    • Proven analytical and problem-solving skills to resolve a variety of administrative problems and recommend solutions.

    • Proven oral communication and interpersonal skills to inform/advise management on administrative processes and procedures, provide customer service to a variety of clients and to liaise with others.

    • Proven written communication skills to prepare documents and presentation materials.

    • Proven computer skills to prepare correspondence, track project priorities and produce documents.
