    What you will be responsible for

    Supporting the Registration department and the Professional Conduct department in the following ways:

    1. Administrative support 
      • Assisting with development, preparation, and maintenance of registration materials
      • Sending signed decisions along with covering letters to parties involved in the Professional Conduct process
      • Preparing and filing correspondence for the Directors
      • Organizing the Professional Conduct inbox according to case files; organizing other emails received – highlighting items requiring attention
      • Preparing templates for directors/staff to expedite the decision writing process
      • Managing all aspects of electronic filing (e.g. scanning documents, preparing and saving correspondence and emails)
      • Managing email bounce backs and updating registrant database with email contact information
    1. Registrant and Applicant support
      • Assists with responding to email inquiries regarding applications from Accredited Canadian Programs, Non-Accredited Canadian Programs, and International Programs
      • Assists with responding to inquiries about registration renewal and the mentorship program
      • Assists with the preparation of verification letters for registrants
    1. Committee support
      • Scheduling meetings
      • Assisting with the preparation and compilation of meeting materials
      • Posting meeting materials to web-based document sharing platform
      • Take minutes at committee meetings
    What makes you the ideal candidate?
    • Excellent oral, written and interpersonal communications skills and ability to communicate in a professional and engaging manner
    • Proactive approach to work and independent problem-solving skills
    • Ability to set priorities and organize work effectively to meet deadlines
    • Excellent organizational abilities and time management skills, ability to work under pressure, meet deadlines, multitask, and prioritize
    • Familiarity with processes for determining and maintaining confidentiality of sensitive materials
    • Knowledge and ability to work within a legislative framework and/or policy driven organization
    • Advanced computer skills – MS Office, Zoom, MS Teams, web-based document collaboration platforms and experience working with database and document management systems
    • Data entry skills with demonstrated speed and accuracy
    • Demonstrated ability to work remotely
    Required Education and Experience:
    • Minimum 5 years’ experience in an administrative support position
    Preferred Experience
    • Experience working in a not for profit, regulatory or health care environment is considered an asset
    • Experience with reporting to multiple departments and Directors
    • Knowledge of health care system is an asset
    • Fluency in French is an asset
    • Legal office and communications/customer relations background would be an asset
